Job Summary: The Medical Practice Associate will perform a number of duties, including greeting and scheduling patients and visitors, calling patients to remind them of appointments, answering and routing calls, making transactions, and keeping paperwork organized.
Essential Job Duties and Responsibilities:
• Welcomes and greets all patients and visitors, in person or over the phone
• Answers the phone while maintaining a polite, consistent phone manner using proper telephone etiquette
• Responsible for keeping the reception area clean and organized
• Registers new patients and updates existing patient demographics by collecting detailed patient information including personal and financial information and collecting payments
• Schedule patient appointments including registration and verifying insurance
• Facilitates patient flow by notifying the provider of patients' arrival, being aware of delays, and communicating with patients and clinical staff
• Responds to inquiries by patients, prospective patients, and visitors in a courteous manner
• May keep medical office supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment
• Protects patient confidentiality, making sure protected health information is secured by not leaving PHI in plain sight and logging off the computer before leaving it unattended.
• Obtains referrals, follow-up appointments and may schedule diagnostic testing
• Prints clinical summaries and handle medical record requests. May follow up on past due accounts and make reminder calls to patients
• Maintains a professional demeanor at all times with patients, physicians, and with co-workers
• Covers all reception duties when assigned
• Schedules follow up appointments in IDX, provides patient with appointment care and all necessary instructions to ensure a smooth follow up visit
• Is knowledgeable and familiar with fire/safety procedures and security protocol
• Conforms to all applicable HIPAA, billing compliance and safety guidelines
• Completes other duties and special projects as assigned
Minimum Education: Associate or a Bachelor degree. Years of experience may be substituted for degree.
Minimum Experience: 1-3 years of experience in an outpatient medical office environment. Knowledge of IDX, Allscripts, or other billing or EMR helpful. Possess knowledge of modern medical office equipment, systems and procedures helpful.
Other Requirements: Ability to work flexible hours/days. Ability to work independently and takes initiative to improve overall office operations. Excellent communication/customer service. Ability to adjust daily to different services and medical staff needs, process, and clinic flow. Excellent computer skills.
